Prepare before the meeting
Start with the meeting title, objective, date, participants, location, and agenda. A prepared structure makes note-taking faster and more consistent.
Capture outcomes, not a transcript
Record important context, conclusions, concerns, and unresolved questions. Avoid trying to reproduce every sentence unless a formal requirement demands it.
Separate decisions from discussion
A reader should be able to identify final decisions without interpreting the entire discussion. Use a dedicated decisions section.
Write accountable actions
Each action should use a clear verb, name one responsible owner, and include a due date when practical. “Team to review” is weaker than “Amina will review the draft by August 3.”
Review and distribute promptly
Correct material errors and share the minutes soon after the meeting. Ask participants to confirm disputed decisions or responsibilities.
